Minimum Qualifications:

Bachelor’s Degree, and 3 years’ managerial experience

Knowledge/ Skills/Abilities:

  • Very strong organizational skills and attention to detail
  • Excellent interpersonal skills to communicate with all levels of personnel
  • Must be proficient in Microsoft Office Suite; i.e., Word, Outlook, Excel, etc.
  • Knowledge of document management systems and legal software helpful
  • Human Resource experience and/or education preferred
  • Experience supervising legal support staff preferred
  • Experience supervising/coordinating in a professional services environment
  • Excellent verbal and written communication skills required
  • Ability to work independently, using initiative in all aspects of assignments
  • Must be flexible and detail oriented
  • Ability to consistently be on-call to assist with emergent situations
  • Ability to work under pressure and handle conflicting priorities
  • Ability to maintain confidential information

Essential Functions:

  • Assist HR Director in carrying out various human resource programs and procedures for all firm employees;
  • Assist HR Director in educating employees on firm policies and benefit package;
  • Coordinate and participate in annual performance evaluations for non-attorney support staff in satellite office;
  • Participate in recruitment effort for exempt and nonexempt personnel (excluding managerial levels and above) and help coordinate the use of temporary employees;
  • Conduct new employee orientations, administer pre-employment tests, conduct reference checks and 90 day evaluations;
  • Assist in exit interview process;
  • Check time sheets a minimum of weekly for attendance and payroll purposes for all non-exempt support staff;
  • Receive and regularly approve PTO requests for full time non-exempt support staff;
  • Coordinate and schedule staff leave and vacation time for part time support staff;
  • Monitor work flow and assist with emergency requests for staff support;
  • Train & supervise non-attorney support staff for satellite office;
  • Supervise Office Services Manager, receptionist & others as assigned, while maintaining a complete understanding of each function;
  • Provide employee relations support to staff and attorneys in satellite office;
  • Assist with organization of work assignments and work schedules for non-exempt staff;
  • Liaison between satellite office and Raleigh Department Heads (i.e., Finance, Business Development, HR, IT, and Conflict Compliance);
  • Assist Finance Department with overseeing aged accounts receivables for satellite office, including updating attorneys monthly on the status of their aged accounts receivable;
  • Assist Finance with invoice appeals for satellite office;
  • Assist Business Development Department with local business development, client service and marketing ventures, including meeting with vendors, coordinating photographs and articles with attorneys, and setting up for events;
  • Manage office renovations or relocation as requested;
  • Supervise and coordinate on and off-site file and record storage;
  • Assist as requested in organization and coordination of client seminars;
  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and/or participating in professional societies;
  • Overall ensures the satellite office runs efficiently;
  • Be trained and able to assist with the opening of new files and quick conflict checks, if needed; and,
  • Any other related tasks that may be assigned by Chief Operating Officer, HR Director or Satellite Managing Partner.
