Reports To: HR Director or Office Administrator and Office Services Manager

Employment Status: Part time – up to 29 hours per week

Summary: The Office Services Assistant assists attorneys and legal staff in their day-to-day work, enhances attorney and staff effectiveness by providing administrative support and excellent customer service, and represents the attorney and firm to clients, legal professionals and other matter related individuals. 

Minimum Qualifications:

  • High School diploma or equivalent
  • Reliable access and use of dependable transportation
  • Valid NC driver’s license with clean driving record
  • Proof of auto insurance


  • Proficiency with Microsoft Office Suite, including Microsoft Word
  • Must be computer literate
  • Knowledge of document management and e-discovery legal software is helpful
  • Excellent client service and interpersonal skills with the ability to interact well with and respond to the needs of all levels of individuals
  • Ability to communicate clearly and concisely in oral and written form
  • Highly organized with attention to details, including the ability to own and prioritize all aspects of the position and meet deadlines in a dynamic, fast-paced environment
  • Effectively manage and maintain confidential information

Physical Demands:

The Office Services Assistant position requires long periods of standing, walking, and climbing stairs.  Some moderate to heavy lifting of files and office supplies will be required, along with some bending, stooping, lifting and reaching.  Some periods of sitting at a keyboard drafting documents and/or correspondence, or doing other data entry. Occasional travel may be required.

Essential Functions:

The Office Services Assistant position may involve some or all of the following duties:

  • Pick up and drop off mail to/from US Post Office;
  • Process and distribute incoming mail;
  • Print and prepare outgoing mail;
  • Distribute hand deliveries into and out of the office;
  • Make deliveries on behalf of the firm, to include filings at the County Courthouse, Industrial Commission, Court of Appeals, Supreme Court, other law firms and out of town deliveries.  This may also include document delivery/set up/break down during trials or other off-site meetings or firm events;
  • Daily courthouse run(s) to check boxes, process court filings as assigned, and check in at the Register of Deeds;
  • Assist with trial prep, as may be assigned;
  • Assist with daily document/notebook production, as instructed by attorneys or staff;
  • In accordance with staff instructions, prepare documents for filing with Industrial Commission or Courthouse; sending filed copies to appropriate staff;
  • Photocopying/printing from e-mails, CD’s, flash drives;
  • Duplicate DVDs and CDs;
  • Download documents from flash drives, copying and creating flash drives;
  • Maintenance of Kitchens, Conference Rooms, and Library;
  • Daily maintenance of copiers/printers, to include restocking paper, changing toner cartridges, etc.;
  • Restock and/or inventory of supplies;
  • Assist with closing of files;
  • Maintain monthly Marketing inventory (satellite office);
  • Conference room set up, as needed;
  • VTC set up, as needed;
  • Assist with general office repair and upkeep;
  • Office furniture moving and set up, as needed;
  • Empty office recycle bins;
  • Provide relief for Receptionist, as needed; and
  • Any other related tasks that may be assigned by Management or Supervisor(s).

**Some duties may be specific to one Cranfill Sumner location and will be covered during new employee orientation.
